EFA Success Rates
The EFA Success Rates report shows the success rates for EFA qualifications.
Please note that there is currently no official specification for EFA success rates. As such, this report should be considered our interpretation of how EFA success rates work.
Parameters
- Contract year – This lets you choose the contract year to run the report for.
- Exclude obsolete assessors - When set to Yes, this will remove obsolete assessors from the filter parameters (if assessor is chosen as a grouping). Also, if grouped by assessor, it will group learners with obsolete assessors under a No assessor grouping.
- Grouping / Filter 1, 2 and 3 – These let you choose up to three custom groupings for the report. Each grouping has a corresponding filter option (e.g. grouping by assessor will provide a list of assessors to choose from).
- Success rate type - This determines the type of success rate to show (see below for details).
- Forecast - This lets you show the results as they currently stand (i.e. no forecasting applied), the best case scenario or the worst case scenario (see below for details).
- Only include core aims - When set to Yes, only core aims will be included in the results. When set to No (the default), all valid aims will be included.

Continuing work placement cohorts - The cohort year for results in the report is based on the hybrid end date, which is the latest out of the planned end date and the actual end date. Work placement aims are handled uniquely in the report (see below for details), and this parameter allows you to adjust work placement cohort years to make the results more intuitive. When a work placement aim continues from one contract year to another and is split into two aims, the original aim will by default be placed in the cohort year it ended in, regardless of the planned end date. For example, if the original aim ended on 31/07/2015 and the planned end date was 31/08/2015, the original aim would remain in 2014/15, despite the fact that the hybrid end date falls in 2015/16. This can be overridden by choosing the Use hybrid end date for original aim option (for the previous example, the cohort would be 2015/16 with this option).
The impact of this is that with the default option, the two aims will appear intuitively in sequential contract years (e.g. the original aim in 2014/15 and the restarted aim in 2015/16). With the alternative option which uses the hybrid end date, both aims will fall in the later year if the planned end date of the original aim is in the later year. While this is technically correct by the logic of how an overall cohort is derived, in this case it produces a less accurate representation of when aims actually took place.
- Ready to run – Set this to Yes when all other parameters are set (this prevents the report from running automatically on the default parameters).
Layout
The report shows the completion, achievement and pass rates by three groupings, contract year and contract period. The year in which results fall is based on the hybrid end date, which is the latest out of the planned end date and the actual end date (there is an exception to this with certain work placements, which is detailed above). Without forecasting, the results only include aims which have an actual end date. Each cell consists of 3 figures, which depend on the success rate type chosen in the parameters:

Completion Rate
- Right-hand figure (the cohort) - Aims where the hybrid date falls in the period.
- Left-hand figure (the completers) - The aims in the cohort which have a completion status of 2 (completed) and an actual end date at any time.
- Percentage (the success rate) - The percentage of completed aims out of the cohort.
Achievement Rate
- Right-hand figure (the cohort) - Aims where the hybrid date falls in the period.
- Left-hand figure (the achievers) - The aims in the cohort which have a completion status of 2 (completed), an outcome of 1 (achieved) and an actual end date at any time.
- Percentage (the success rate) - The percentage of achieved aims out of the cohort.
Pass Rate
- Right-hand figure (the completers) - The aims in the cohort which have a completion status of 2 (completed) and an actual end date at any time.
- Left-hand figure (the achievers) - The aims in the cohort which have a completion status of 2 (completed), an outcome of 1 (achieved) and an actual end date at any time.
- Percentage (the success rate) - The percentage of achieved aims out of completed aims.

The report only includes aims which completed their qualifying period. The qualifying period is defined as follows:

The report also excludes aims with an aim reference of CMISC001, XESF0001, ZFLW0001, ZINN0001, ZINN0002, ZINN0003, ZINN0004, ZINN0005 or ZINN0006.
Clicking on the left or right figures will show a drilldown of the relevant aims, grouped by learner.
Forecasting
The Forecast parameter allows you to choose three views of the data:
- Show current, actual results - This is the default option where no forecasting is applied.
- Show best case scenario - Live aims in the cohort are assumed to complete and achieve on their planned end date.
- Show worst case scenario - Live aims in the cohort are assumed to be withdrawals on their planned end date.
Work Placements
Work placement aims (i.e. aims where the aim reference begins with Z000783, such as Z0007835, Z0007836, etc) are handled specially in this report when they are restarted in a new contract year. If a work placement aim continues past 31st July, the aim is closed with a completion status of 3 (withdrawal) and is restarted on 1st August as a new aim. The planned hours for the original and restarted aim are adjusted accordingly.
Since the above scenario would result in the original aim being recorded as a withdrawal (as per the funding guidance), even if the planned hours were completed in-year as planned, the report treats the original aim as if it had a completion status of 2 instead.
Additionally, there is a parameter which allows you to choose whether the cohort year of the original aim should be based on the hybrid end date or only the actual end date (see the parameters section for details).
The original aim for a restarted work placement is identified as follows:
- Completion status is 3
- Aim referernce starts with Z000783
- Actual end date is on 31st July
- There exists another aim in the same POT where the aim reference starts with Z000783 and the start date is 1st August (the day after the actual end date of the original aim)
