November 2019 Maytas Upgrades

Dear customer,

Please find enclosed the 5.18 service pack 1 upgrades for Maytas and e-track. The specific versions are as follows:

The planned service pack to our 5.18 release consolidates our August updates to Maytas and e-track and is packed with lots of useful features for all customers. Functionality includes:

As discussed at our recent user group, the ILR updates bring us in line with the ESFA specifications released since our August release. The updated QAR reconciler is a great tool for identifying QAR discrepancies and understanding the Maytas data in detail. For the users of the online applications portal, you can now configure more forms and also have increased options for styling. In addition, many improvements have been made to e-track, particularly around performance in areas such as messaging and Communities. This release also sees changes to our Data Authentication process, including a new Data Queue which allows multiple forms to be sent to a learner.

The service pack also sees Maytas brought up to date for the 19/20 contract year including 19/20 validation, funding and financial planning.

Installation instructions and release notes for each of the products can be found in their respective upgrade folders and on the Maytas online help portal at http://docs.maytas.tribalgroup.com. We also have a number of product videos on our communities portal demonstrating functions of the release.

Please note that we have included a separate de-support notice in the release pack which all customers should read. The 5.18 release will not work with SQL server 2008, which was formally de-supported in August 2018.

Data Submissions

We would like to remind providers to create a submission early and check for any errors using reports from the appropriate software (i.e. the FIS or LLWR-Inform). Welsh providers should also remember to download their ULI file. After submission to the ESFA or DfES, providers should check that data has submitted correctly using the available reports. Providers should check that all their in-learning figures are correct, expected starts and completions are submitted correctly, and that in learning, start and outcome payments correctly match the PFR or ACE funding reports once they are available.

Our support desk gets extremely busy in the days prior to the submission deadlines, and although we try and prioritise submission-related queries, we cannot guarantee assistance if queries are sent late. If you do encounter any issues, please ensure that you contact Maytas Support as soon as possible, as we can only rectify issues of which we are aware. We also recommend checking Maytas Communities regularly for information on any known issues and solutions.
