Activities Nearing Completion
This report applies only to Welsh contracts.
The Activities Nearing Completion report shows a summary of LLWR activities which are approaching their expected end date, activities which are within four weeks past their expected end date, and activities which more than four weeks past their expected end date.
The activities included in the summary are those which have not yet been terminated. As soon as a termination date is entered for an activity or the associated learner ends learning, they are excluded from the report.
Parameters
- Centre – This filters by the selected centres. All are selected by default.
- Contractor – This filters by the selected contractors. There is a separate All Contractors option which is selected by default.
- No. of weeks until expected end date – This is the number of weeks from the current date which you wish to report up to. This is 52 weeks by default.
- Grouping 1 and Grouping 2 – These are the two categories you wish to group by (Centre and Contractor by default).
- Exclude obsolete assessors - When set to Yes, if the report is grouped by assessor then learners with an obsolete assessor will be counted under an Unknown option.
Layout
The first two columns are set by the Grouping 1 and Grouping 2 parameters. Please note that the centre and contractor filters will still apply even if you choose different groupings. The second column can be collapsed and expanded by clicking the and buttons on the left of the first column, and the summary figures will adjust accordingly.
The red (Late) columns show any open activities which are more than four weeks past their expected end date. The orange (Overdue) columns show open activities which are within four weeks past their expected end date. The green (In Learning) columns show open activities which have not yet reached their expected end date.
The red, orange and green sections can be expanded or collapsed to show the year, month and week as required. When you first run the report, all the orange columns and the first green month are expanded fully to weeks, as it is the activities in these areas (i.e. activities nearing completion and activities only recently overdue) which will likely be your main priority.
Definition of a 'week'
There are many ways to define a week. We have used the following rules to define a week in this report:
- A week begins on Sunday and ends the following Saturday.
- Weeks are contained within months (i.e. a week cannot run over two months).
- If a month does not begin on a Sunday, week 1 consists of the days running up to the first Sunday. For instance, if a month begins on a Friday, week 1 consists of Friday and Saturday. Week 2 begins on the Sunday.
- Similarly, the final week in a month consists of the last Sunday and any remaining days.
The following example demonstrates how May 2009 is split into weeks:
The first green week on the report is the 'current' week. One point to consider is that if the report is run on the final day of the week, all activities where the expected end date was earlier in the week will still be shown in the green column rather than the orange column. They will not be shown as overdue until the following week begins.
Drill-down report
Any data area of the report can be clicked on to drill-down to a list of the associated activities (and the learners they are attached to). This is not limited to the summary numbers; you can click on the week, for instance, to show all the activities scheduled to end that week, or click on a contractor to show all their activities which are scheduled to end within the selected timeframe.
In the drill-down report, each group is shown on a separate page. You can click on any learner’s name to view their Learner Summary report.
